QuickBooks Online
The de facto standard for full-blown small-business accounting in the US, with a fast-growing layer of AI agents.
What it is and who it's for
QuickBooks Online is Intuit's cloud accounting platform and the de facto standard for SMBs in the US (estimated ~80% market share). It's full accounting: general ledger, invoicing, bank feeds, reporting, taxes, and optional payroll and payments.
The lineup runs from Free and Solopreneur up to Essentials, Plus, Advanced and the Intuit Enterprise Suite for mid-market. The AI features roll out to the US market first.
AI and automation
The base layer is Intuit Assist (a generative assistant): categorization, receipt extraction, draft reminder emails, cash-flow insights and natural-language answers about your books with links to the actual reports. On top of it, 2026 brought AI agents available by plan.
- Accounting Agent (from Essentials): categorization, bank-feed matching, anomaly detection, extraction from PDF statements — claimed ~3× faster reconciliation
- Payments Agent and Payroll Agent — payment prompts and payroll drafting
- Customer Agent and Sales Tax Agent (from Plus) — leads and return checks
- Finance Agent (Advanced only): KPIs, forecasts and scenarios — but unavailable when multi-currency is turned on
Advantages
- Full all-in-one accounting — no separate ledger needed
- A dominant ecosystem and integrations; accountants know QBO everywhere
- Deep and fast-growing AI; the base assistant is included in every plan
- Scales from solo to Advanced (25 users) and the Enterprise Suite
- Strong reporting, with the assistant citing the actual reports in its answers
Real use cases
Documented results and typical scenarios — no invented testimonials.
Solo freelancer: Solopreneur ($20) or Free — income, expenses, invoices, mileage and taxes in one place.
Retail or restaurant with inventory: Plus — inventory, project profitability, budgets, Customer and Sales Tax agents.
Intuit reported QBO revenue up +24% year over year and ~80% repeat engagement on AI agents (fiscal Q2 2026); the company publishes almost no named agent case studies.
Pitfalls
- Aggressive annual price increases (from August 2026: Essentials $75→$85, Plus $115→$140, Advanced $275→$340)
- Hard limits instead of overages (1/3/5/25 users; chart of accounts capped at 250 on Plus and below) — hit the cap and you upgrade
- A painful forced Desktop → Online migration (there were cases of 'invisible' data)
- Support: offshore, with complaints about rudeness on escalation and billing errors
- The AI is still in beta: no independent accuracy benchmarks, and Finance Agent is blocked under multi-currency
Pricing
The prices below are the standard US price list after the August 1, 2026 increase. Outside the US, currency and prices differ, and the full AI feature set lags behind.
| Plan | Price | What's included / limits |
|---|---|---|
| Free / Solopreneur | $0 / $20 | 1 user; basic bookkeeping, invoices, taxes |
| Simple Start | $38/mo | 1 user (price unchanged) |
| Essentials | $85/mo | 3 users, bill management, Accounting Agent |
| Plus | $140/mo | 5 users, inventory, project profitability, Customer/Sales Tax agents |
| Advanced | $340/mo | 25 users, Finance Agent, advanced capabilities |
Annual billing gives ~−10%, and a 50%-off promo for the first 3 months is common. Extra costs: Payroll from $50/mo + $7/employee, 1% for ACH, 2.99% for cards.
Our honest verdict
The best choice as a single, full accounting system for SMBs in the US: the ecosystem, the availability of accountants, and fast-growing AI with agents (Plus especially, for inventory and projects).
The main gripes are the painful annual price hikes and hard limits, plus the full AI's dependence on the US market.
Small and mid-sized businesses in the US that need a single, full accounting system with growing AI and broad accountant support.
Anyone sensitive to price hikes and limits, businesses with multi-currency (they lose Finance Agent), and users outside the US waiting on the full AI.
